World Rugby: a full AV relocation, live on day one.

World Rugby was moving to a new Dublin headquarters at Park Place. The AV in the old building was current and well specified, so THINK took it out cleanly, moved it, and brought it back up in the new building. Eight meeting rooms, a boardroom and a town hall, all working from the first morning.

the brief

World Rugby was moving out of its existing Dublin offices and into a new headquarters at Park Place. The AV estate in the old building was current and well specified, so there was no reason to replace it. The requirement was simple to say and harder to do: take it out cleanly, move it, and bring it back up in the new building without losing time or equipment along the way. The new headquarters needed eight meeting rooms, an executive boardroom, and a town hall and canteen space that could handle all-staff sessions as well as day-to-day collaboration. All of it had to be working from the first day staff sat down in the building.

Out cleanly, catalogued, moved.

We decommissioned every display, codec, camera and control system in the previous offices, catalogued it, and moved it to Park Place. Careful decommissioning matters more than it sounds. Equipment that comes out badly does not go back in well, and anything damaged or unaccounted for becomes a cost and a delay at the other end.

the fit-out

Three room types, one standard.

We fitted out the new headquarters across three room types: eight fully equipped meeting rooms, an executive boardroom, and a town hall and canteen collaboration space. Every room was tested, commissioned and handed over working. Staff walked into a building where the technology was ready, not a building where the technology was still a work in progress.

the technology

Consistent from room to room.

The estate runs on Philips Professional Displays across the meeting spaces and the town hall, Avocor interactive displays for collaborative sessions, and Logitech and Yealink conferencing technology. The mix was chosen to keep the experience the same from one room to the next. A member of staff who can run a call in one meeting room can run a call in any of them.

the outcome

World Rugby moved into its new headquarters with minimal disruption to the business. Existing investment was protected rather than written off, the new spaces were live on day one, and the organisation has AV that supports how it actually works: seated meetings, boardroom sessions and all-staff gatherings in one building.

why it worked

Relocations go wrong in the gaps between suppliers. One team takes the kit out, another puts it back in, a third tests it, and nobody owns the middle. On this project THINK owned all of it, which is why there was nothing to fall through.
